Email aliases: several addresses, one inbox
sales@, support@, hello@... all landing in the same inbox. What an email alias is, what it is good for in a business, and how it differs from opening another mailbox.
Plenty of small businesses want more than one email address: one for sales, one for support, one for billing. It looks tidy and gives each thing its own place. What almost nobody wants is to babysit three separate inboxes, with three passwords, just to avoid missing something. Aliases solve exactly that.
What an email alias is
An alias is an extra address that lands in the same inbox. Instead of creating a new account, you give your existing mailbox another name it also receives on.
An example makes it clear. You have your mailbox hello@aromacafe.com. You add the aliases sales@aromacafe.com and support@aromacafe.com. From then on, anything sent to any of the three addresses drops into the same inbox. One inbox, several front doors.
What it is good for in a business
- Sort by topic without multiplying inboxes.
sales@,support@,billing@: each channel gets its own address, but you read everything in one place. - Look more professional. Putting
sales@yourbusiness.comon a quote reads better than your personal address, and it costs you nothing to open a separate account. - One address per channel. Use
promos@for a campaign orbookings@for reservations, and still read it all together. - Reply from the right address. If a customer wrote to
sales@, your reply goes out fromsales@. Whoever receives it sees one coherent conversation, with no odd jumps between addresses.
Alias or new mailbox: which one you need
It is the most common question, and the rule is simple.
An alias is the same inbox, handled by the same person, with no login of its own. It is ideal when one person (or you) covers several addresses. It is not a separate mailbox, so it does not add to the cost of your mailboxes.
A new mailbox is a separate inbox, with its own login, meant for another person: when someone joins the team and needs their own address to sign in and work on their own.
In short: if the same person reads those addresses, use aliases. If it is for another person with their own sign-in, open a mailbox.
How it works in nanimail
- You create the alias in the mailbox settings, in a few seconds.
- From that moment, anything sent to that address shows up in the same inbox, next to the rest of your mail.
- When you reply, you choose which address you send from. A reply to a message that arrived at
sales@goes out assales@by default, without you having to remember. - If you change your mind, you can make an alias the mailbox's primary address.
In short
An alias is the simple way to have several addresses without multiplying inboxes or costs: many doors, one room. It brings order and a professional face to your email, and you keep working in a single place.
If you want to set up email with your own domain and an address for each thing, without the setup headache or overpaying, that is what we built nanimail for.
